Activity Catalog
Maintain a catalog of all activities offered: activity name, category (sports, arts, academic, social), faculty in charge, schedule (day and time), capacity, equipment needed, and fee (if any additional charge). Display this catalog on the parent portal for enrollment.
Student Enrollment
Allow students to choose 1-2 co-curricular activities per term through the portal. Set capacity limits per activity. Provide recommendations based on the student's interests and aptitude. Ensure schedule compatibility with their academic timetable.
Attendance Tracking
Track co-curricular attendance separately from academic attendance. Some schools require minimum co-curricular attendance for overall assessment. Mark attendance per activity session just like regular class attendance.
Assessment and Grading

Activity Fee Management
Some activities (swimming, horse riding, specialized art) involve additional fees. Bill these separately from tuition with clear line items. Offer activity packages (any 2 for Rs X) to encourage participation without overwhelming parents with individual charges.
Parent Reporting
Include co-curricular participation in monthly updates to parents: which activities their child participated in, instructor feedback, upcoming events, and any achievements. Parents value seeing their child's development beyond academics.
NEP 2020 Compliance
NEP mandates: exposure to art and culture, sports and physical education, and vocational skills. Document your co-curricular program against NEP requirements. This documentation is needed during CBSE affiliation reviews and inspections.
Year-End Showcase
End each academic year with a co-curricular showcase: sports day, art exhibition, music concert, science fair, and debate competition. This celebrates student achievements, provides parent engagement opportunities, and justifies the investment in co-curricular programs.
