The paper circular journey: printed in the office, distributed to class teachers, given to students, hopefully reaches the parent's hand, and maybe gets read. At each step, 10-20% of circulars are lost. By the time information reaches parents, 30-50% never received it. Digital distribution solves this entirely.
Creating Digital Circulars
Teachers and admin create circulars in the system: title, category (academic, event, holiday, fee-related, general), target audience (specific class, all students, staff, or everyone), attachment (PDF, image), priority (normal, important, urgent), and expiry date. The circular is reviewed and approved before publishing.
Distribution Channels
Multi-channel delivery: WhatsApp message with the circular content and attachment, push notification on the parent app, email for formal communications, display on the parent portal notice board, and physical display on the school digital screen. Each parent receives through their preferred channel.
Read Receipts and Acknowledgment
Track which parents have read the circular. For important circulars (field trip consent, exam schedule, fee revision), require explicit acknowledgment — parent must tap Acknowledged in the app. Generate a report showing read/unread status. Follow up with unread parents via phone call.
Categorization and Search
Categorize circulars by type so parents can filter: Academic (exam dates, curriculum updates), Events (sports day, annual day, PTM), Administrative (fee changes, holiday announcements), and Transport (route changes, schedule updates). Historical circulars should be searchable by date and keyword.
Scheduling Circulars
Schedule circulars for future delivery: a holiday announcement can be created today and scheduled for delivery next Monday. This allows batch preparation of communications and ensures timely delivery without last-minute rushes.
Staff-Only Circulars
Internal staff communications (policy updates, training schedules, meeting notices) should use the same system but with audience restricted to staff. This creates a unified communication platform rather than separate tools for parent and staff communication.
Template Library
Create templates for recurring communications: monthly holiday list, exam schedule format, PTM invitation, fee reminder, and event announcement. Templates save time and maintain consistent formatting and branding across all school communications.
Analytics
Track: total circulars sent per month, average read rate, response time (how quickly parents read after delivery), most effective channel (WhatsApp vs app vs email), and categories with lowest engagement. These insights improve your communication strategy.
Compliance and Archival
Archive all circulars with their distribution records and acknowledgment data. This archive serves as evidence of communication — essential when parents claim they were not informed about policy changes, fee revisions, or event details.
