Your student database is the foundation of every school operation — attendance, fees, communication, reporting, and compliance all pull from this data. Missing fields create workarounds, and workarounds create errors. Get the database right from the start.
Personal Information Fields
Essential: full name as per official documents, date of birth, gender, blood group, nationality, religion (optional — some state reports require it), caste category (for government reporting — SC/ST/OBC/General), Aadhaar number, and passport-size photograph. Store the name in a consistent format for search and sorting.
Contact Information
Primary parent/guardian: name, relationship to student, mobile number, email, and occupation. Secondary contact: name, relationship, and mobile number. Emergency contact (if different from parents): name, relationship, and mobile. Home address: complete with PIN code for transport planning.
Academic Records
Previous school: name, board, last class completed, TC number, and date of leaving. Current enrollment: admission number, admission date, class, section, roll number, and house assignment. Academic history: maintain year-wise class, section, and roll number as the student progresses.
Medical and Health
Blood group, known allergies (critical for field trips and canteen), chronic conditions (asthma, diabetes, epilepsy), regular medications, doctor name and contact, health insurance details, and vaccination records. Flag students with critical medical conditions for teacher awareness.
Transport Details
Uses school transport (yes/no), pickup point address, route assignment, bus number, boarding and dropping times, and authorized pickup persons with photos and phone numbers. This data drives route planning and pickup verification.
Fee and Financial
Fee plan assigned, discount category (if any), payment mode preference, GSTIN of parent (for tax invoices), and bank details for refund processing. Link to the student's financial ledger for transaction history.
Administrative
Enrollment status (active, withdrawn, transferred, passed out, suspended), withdrawal date and reason (if applicable), TC issued (yes/no with date), house assignment (for inter-house competitions), and any awards or disciplinary records.
Custom Fields
Every school has unique needs. Allow custom fields: musical instrument played, sports specialization, dietary preference (for residential schools), sibling enrollment IDs (for linking), and learning support requirements. Flexibility in the database prevents rigid systems.
Data Import and Export
Support CSV import for initial data loading (migrating from Excel) and export for government reporting (UDISE+, state portals). Standardized data formats prevent hours of manual reformatting during submission deadlines.
Regular Data Audits
Run quarterly data quality checks: records missing phone numbers, invalid email formats, photos older than 2 years, and unlinked sibling accounts. Clean data is not a one-time setup — it requires ongoing maintenance.
