Every school morning, the administrator needs to know: how many students are present, which teachers are absent, are all buses running, any incidents reported, and what is the fee collection status. Gathering this from different sources takes 1-2 hours. Automation delivers it to your phone by 10 AM.
The Daily Summary Email
Configure an automated email at 10 AM containing: student attendance summary (total present, absent, late with percentage), staff attendance (who is absent, substitution arranged), transport status (all routes completed, any delays), fee collection for the day so far, and any pending action items from yesterday.
Attendance Section
Show: total students expected, present, absent, late, overall percentage, and comparison with the same day last week. Highlight classes with below-70% attendance. List students absent for 3+ consecutive days. This section alone saves 20 minutes of morning phone calls.
Staff and Substitution Section
List staff absent today with reason (if provided), substitution arrangements made, and any classes that remain uncovered. The administrator can address uncovered classes immediately rather than discovering them when a parent complains.
Transport Section
For schools with bus services: all routes status (completed/delayed), any incidents (breakdown, accident, student left behind), average delay across routes, and GPS compliance (did buses follow assigned routes?). Flag any route with consistent delays for route review.
Fee Collection Section
Daily collection amount, method-wise breakdown (UPI, card, cash), number of payments received, and comparison with monthly target progress. Show the top 5 defaulters by overdue amount for the administrator's attention.
Incident Log
Any incidents from the previous day: student injuries, disciplinary actions, parent complaints, facility issues, and vendor problems. Each incident with current status (resolved, pending, escalated) and responsible person.
Generating the Report
No manual compilation needed. The management platform pulls data from: attendance module (marked by teachers by 9:30 AM), HR module (staff check-in data), transport module (GPS and driver check-in), fee module (payment gateway and cash receipts), and incident module (entries by staff). Everything assembles automatically.
Customizing Report Content
Different stakeholders need different views. The principal gets the full report. The academic coordinator gets only attendance and academic sections. The accountant gets fee and transport cost sections. Configure recipient-specific report versions.
Weekly and Monthly Rollups
The daily report feeds into: weekly summary (every Saturday — week's trends and highlights), monthly summary (1st of next month — month's performance against targets), and quarterly summary (for board presentation). Each builds on daily data without additional input.
